ChauffeurLog Privacy Policy

1. Who we are

ChauffeurLog is a trip and booking logging application operated by Digital Pilot, LLC ("Digital Pilot," "we," "us," or "our"), the company behind the iLux Royale brand, Palm Beach, Florida. ChauffeurLog is used by chauffeurs and operators to record trips, fees, expenses, and gratuities, to manage bookings, and to keep those records in sync with the user's own Google Calendar. This policy explains what information the application collects, how it is used, where it is stored, and the choices available to you.

2. Scope of this policy

This policy applies to the ChauffeurLog application available at log.iluxroyale.com and to the data processed through it. It does not govern the iLux Royale concierge service or any other iLux Royale product, each of which is governed by its own terms and policies.

3. Information we collect

We collect the following categories of information:

Account and identity information. When you sign in with Google, we receive your name, email address, and Google account identifier. We use this to create and authenticate your account.

Google Calendar data. With your authorization, we access events on your Google Calendar for the purpose of creating, updating, and removing booking events that you manage in ChauffeurLog. Section 4 describes this access in detail.

Information you enter. We store the records you create in the application, including trip details (date, client reference, rate, amounts, gratuities, fees, expenses, and notes) and booking details. Some of the text you enter is processed to power the application's conversational logging features, as described in Section 6.

Technical information. We process basic technical data necessary to operate the service, such as session and authentication tokens and standard server logs.

4. Google account and Google Calendar access

ChauffeurLog requests a single Google Calendar scope: https://www.googleapis.com/auth/calendar.events. This scope allows the application to create, view, edit, and delete events on the calendars you grant access to.

We use this access only to:

Create a calendar event when you save a booking, or when you log a completed trip dated for the current day, where a start time is provided.

Remove the corresponding calendar event when you cancel a booking.

To keep these records in sync, the application uses offline access, which means Google issues a refresh token that we store so the application can maintain the calendar connection on your behalf until you disconnect it. The refresh token is stored in our database as described in Section 6. We do not use your calendar data for advertising, we do not sell it, and we do not use it for any purpose other than the calendar synchronization described above.

ChauffeurLog's use and transfer of information received from Google APIs to any other application will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can revoke ChauffeurLog's access to your Google account and calendar at any time through your Google account settings at myaccount.google.com/permissions, or from within the application.

5. How we use your information

We use the information we collect to authenticate your account, to operate the trip and booking logging features you request, to synchronize bookings with your Google Calendar, to communicate with you about the service, and to maintain the security and integrity of the application. We do not use your information to build advertising profiles, and we do not sell it.

6. How your information is shared

We do not sell your personal information, and we do not share it for commercial purposes. We share information only with the service providers that operate the application on our behalf, and only to the extent needed to provide the service:

Google provides sign-in and calendar synchronization.

Supabase provides database storage and authentication.

Vercel provides application hosting.

Anthropic processes the text you enter to power the application's conversational logging features. This processing occurs server side and is used only to deliver the feature you requested.

We may also disclose information where required by law, or to protect the rights, safety, and integrity of the application, its users, or Digital Pilot, LLC.

Where your information is stored

Your information is stored in a PostgreSQL database hosted by Supabase in the United States, managed by Digital Pilot, LLC. This includes the trips and bookings you record, your account profile, your Google authorization tokens (including the refresh token described in Section 4), and your in-application conversation history. Access to this data is restricted to the operations necessary to run the service.

7. Data retention

We retain your account information and the records you create for as long as your account is active. In-application conversation history is retained only briefly to support the logging features and is cleared on a regular schedule. We retain Google Calendar access only while the connection is enabled. When you disconnect your Google account or request deletion of your account, we remove your stored data and revoke the associated tokens, except where retention is required for legal, accounting, or security purposes.

8. Your choices and rights

You may, at any time:

Disconnect your Google Calendar from within the application or through your Google account settings.

Request access to, correction of, or deletion of your personal information by contacting us at the address in Section 13.

Close your account, after which we delete your stored data subject to the limited exceptions in Section 7.

9. Security

We protect your information using server-side session verification, access controls, and encryption of data in transit. Access to stored data is restricted to the operations necessary to run the service. No method of transmission or storage is completely secure, but we work to protect your information using practices appropriate to its sensitivity.

10. Children

ChauffeurLog is a professional tool intended for chauffeurs and operators and is not directed to children. We do not knowingly collect personal information from anyone under the age of 16.

11. Jurisdiction

ChauffeurLog is operated from Palm Beach, Florida, United States. By using the application, you understand that your information is processed in the United States.

12. Changes to this policy

We may update this policy from time to time. When we do, we will revise the Effective Date above and, where appropriate, notify you within the application. Your continued use of ChauffeurLog after a change takes effect constitutes acceptance of the updated policy.
